The Neighborhood Nuptials team is thrilled to have you as a vendor partner. We want to be very clear that this is a collaboration. Our team is busting our butts to sell YOUR products and services. We know this will not make any of us whole for the sheer loss of income we are experiencing, but the idea is that it is *something*. Something to give us all a little more cash and to fuel the love of what we do. And at the very least it should be a kickass marketing opportunity.

This includes details, general Instagram posts, location specific Instagram posts, and NN logos (we will be adding more specific graphics for you to use, so check back from time-to-time). When we launch a new date and info (or any time really), we encourage you to share the website, Facebook, and Instagram with your current & past clients.
If we all share as a vendor community, our reach will continue to grow larger and that is what Neighborhood Nuptials is all about!
Nitty Gritty Details
These nitty gritty details are listed below to ensure we are all on the same page with how Neighborhood Nuptials works in terms of responsibilities to each other and the couples, liability, contracts, payment, pricing and packages on a broad scale for all vendors and some broken out by individual vendor categories. If you see something in this packet that you have concerns with or want to chat it out- we 100% welcome that conversation. We want this to be fair, beneficial, and a great experience for all of us (and one we can do again and again).

Responsibility
You are responsible for providing the couple with the service/product at the price discussed with Naturally Yours Events (NYE) and the Neighborhood Nuptials (NN) team.
We are using the information you provided, your images (that you have the rights to use), and your brand as a way to be your "sales person" and help the couple have the ceremony celebration they want with any thoughtful additions they are interested in. NYE will not overpromise and ask that vendors do not underdeliver. We will sell the service/product as it was described to us by you. We do not accept or take kickbacks or commissions for this or anything ever.
You are responsible to NYE, the NN venue/vendor partners, and the couples to keep your word. If you agreed to provide services/product for a certain date and a certain price, please keep your word on this. It would be in very bad form to break your word. If an emergency did come up and you could no longer uphold your agreement, please let us know immediately and/or provide a suitable option for us to consider. NYE has the right to refuse said option and open up your service/product to another vendor in our network. We also have the right to remove you from any marketing and website listings and our partnership together at any time should you break your word with us.
NYE and the NN team is responsible for attracting, finding, vetting, and booking couples for your services/product. While this is an unique and exciting idea, it does have some risk factors. The risk being that we cannot guarantee anyone anything (especially if we are in a stay at home order). We/you could get four, six, ten, twelve couples!!! Or we could get one or two or zero :( Our promise to you is we are going to give it all we got, work long hours, and pour every bit of love and energy into making this as successful as possible!
Liability
For the nature of this/these event(s), the couple will not be expected to provide a Certificate of Insurance (COI) unless they and their guests are drinking more than one glass of champagne and only as requested by a venue/vendor in writing at the time of date confirmation.
We are a real business with insurance and everything- go us! We will provide the venue with NYE's Certificate of Insurance. This covers our butts, you need your own insurance to cover yours. A COI will be requested by our venue partners.
NYE will not be held liable for any vendor, couple, guest, or person involved with NN who gets sick with any illness, including COVID-19. You and your staff are responsible for wearing proper PPE and follow the guidelines provided by our country, state, county, and venue partners without question or pushback. These guidelines will be known ahead of time and provided to you. If you cannot comply with this policy, within reason, we have the right to ask you to leave the premises and no payments will be provided for services/product not rendered. If you feel unsafe to provide your agreed upon services/product due to vendors/partners, the couple, or guests not observing proper event guidelines with respect to COVID-19 or due to any COVID-19 concern, you can cancel your agreement with us and the couple but no monies will be paid out to you for services/product not rendered.
Contracts
The couple will have one contract with NN for the details pertaining to their onsite Nuptials. Should they want to add on larger, more complex, services outside of their Nuptials (like catered meals) or offsite services/products (like attire, beauty, hotels, rings, stationery, transportation, etc.) they can contract with those vendors directly and will be connected with them. Otherwise, everything will be under one contract.
For the details pertaining to their onsite Nuptials, we have put together a contract to cover all the bases and added some protective terms for your specific service (such as Dj sound equipment failures, photo or video malfunctions, florals being natural and no guarantee of color/shape/etc.) in addition to the protections our planning contract offers in terms of force majeure and such. If there is any additional language you feel is important to add to this contract please let us know.
This packet serves as our agreement to one another. If there is something we have left out or missed or not thought about, please let us know!
Payment
For the details pertaining to their onsite Nuptials, the NYE team plans to collect the full payment from the couple (via chase quickpay, venmo, or paypal *for a fee*) and then payout for your services/product when they happen or are delivered/received.
We do request that you invoice NYE on the day or within two (2) weeks of the event (not earlier please) to receive payment. Please confirm in your invoice how you want to be paid and/or if you prefer chase quickpay, venmo, credit card, or check. We do not carry cash with us and this will not be an option.
The couple is permitted to cancel 30 days or more before their event date and receive 50% of their full payment, the other 50% acts as a retainer to be kept by NYE and the vendors contracted for the couple's specific date and time. But if the couple cancels at 30 days or less, their payment will not be reimbursed at all. All monies will be sent to each vendor contracted at the time of the cancellation (whether that is the full fee or 50% retainer and depending on when the client cancels). NYE will confirm with you the amount and ask that you send a cancellation invoice to NYE in order to receive prompt payment.If the event is cancelled by NYE, the venue, or vendor partners and NYE cannot find a replacement resulting in a full refund to the couple, the venue/vendors do not get any monies. This would only be enforced if something really bad happened- like a death of a vendor or venue burns down or something awful. NYE reserves the right to use judgment in this area to refund a client in full (we usually stick to contract terms, so we likely wouldn't need to unless, again, it was because the vendor/venue cancelled) and would provide records of such occurrence to all vendors, upon request.
If NYE is paying you out directly for your product/service, please supply us with your business's W9 for tax purposes. You will be able to upload this in the form.
Pricing and Packages
All pricing you have shared with us is all inclusive of product costs, service fees, taxes, delivery fees, travel/transport/parking fees (if applicable) and based on per couple (not hour) that is booked (regardless of their time slot or breaks in between each couple’s nuptials).
Pricing- please refer to our “nitty gritty details” email for your specific agreement with us.
Thoughtful additions- We have put together some cool enhancements (champagne and cake, additional photo/video time, personal flowers, etc.) for couples to add to their base package. You will be emailed directly about these enhancements, their availability and pricing, and other important details. The NYE Planner will confirm booking of services 3 weeks prior to date and any specific details needed 2 weeks prior. If your product/service has other items you can add in and generate income on, please let us know. We want to support you any way we can and provide value to our couples (within reason and within our scope/capacity).
Logistical confirmations- NN events run from 11am-8pm (unless otherwise noted). Couples can book time slots at 11am, 1pm, 3pm, 5pm, and 7pm with an hour break to sanitize in between each couple and prepare for the next nuptial. Setup would occur 2 hours before the first couple and breakdown would be promptly after the last to be completed within 30-60 minutes afterwards. The NYE planner will confirm all setup, breakdown, start and end times/details with you one (1) to two (2) weeks beforehand.
Marketing/Social media- you should be doing a push every month and when it is a date you are involved in you should push even more. There is no fee or commission applied to you to be listed on the website, included in social media campaigns, and in our press releases. The expectations is that in exchange for publicity, you should help in marketing Neighborhood Nuptials to your clients and on your socials.
Expectation confirmations-
Attire: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
Beauty: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
Caterer: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
DJ/Livestream: Client to contract with NN directly. Internet connection tested prior to event. DJ to provide dashboard to NN/couple prior to event. DJ will provide your own table/linen and staff to run music/emcee services and livestream activities as needed. Additionally provide microphones for the couple, officiant, readers with necessary sanitation in between speakers. Deliverables (such as virtual photo booth, embedded guest chat, or video guest book add-ons) to be provided to the couple the week after their event. Deliverables (such as livestream recording) to be provided to the couple 2-4 weeks after their event once necessary editing is completed.
Florist/Decor: Client to contract with NN directly. You’ll provide a backdrop/arch/ceremony arrangement. Delivery/setup and breakdown. Provide consideration/troubleshooting on the day of (such as weighing down backdrop in case of heavy winds or provide direction on how to move inside in case of abrupt weather changes). All floral elements are the florist’s choice regarding general vibe including seasonal blooms and greenery in an organic shape. NN will share any color palette being used by the couple for inspiration as well as any specific flower likes & dislikes/allergies. Personal flowers delivered to venue at the time of delivering backdrop. Client can request pickup/delivery for an additional fee determined by florist and communicated to NN team beforehand.
Hotel: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
Live Music: Client to contract with NN directly and will be connected to musicians beforehand to discuss music and song selections. Musicians will receive chairs and access to power but will bring all of their own equipment. Musicians will have access to the space 60 minutes before start of ceremony.
Officiant: Client to contract with NN directly and will be connected to officiant beforehand to discuss ceremony specifications and creation.
Photographer: Client to contract with NN directly. Clients expect to receive photo coverage of event details (venue shots, personal items), couple portraits, family/group photos, ceremony details, and any other events (cake cutting, toasts, dances, etc.) within the nuptial hour unless client has also booked additional time with photographer. Photographer should establish expected arrival for deliverables ahead of event with NN and ideally should deliver a sneak peak collection 1-2 weeks following the event and a full, completed gallery 4-6 weeks after the event.
Rentals: Client to contract with NN directly. Rentals will be provided in appropriate packaging for ease of delivery, handling, repacking, and return. Day of delivery to the venue, NYE, or the caterer is included. Items must be returned with 24 hours after the event. A post event pickup can be arranged for an additional fee communicated to NN team.
Rings: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
Stationery: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
Sweets: Client to contract with NN directly. Flavors/design specifications will be communicated by two weeks out. NN team will pick up directly from bakery/shop. Delivery can be arranged for an additional fee communicated to NN team.
Transportation: Client to contact and contract with you directly. Your services have been added online and marketed across social media and on Vendor Offerings Packet shared with every NN client!
Venue: Client to contract with NN directly. Venue expected to provide in-house rental items (tables/chairs, coat racks/trash cans) as discussed with NN or otherwise communicate what additional items would need to be rented by NN (i.e., linens). Venue to establish with NN a general floor plan for nuptials and be available for WiFi signal tests with DJ. Venue to provide access to vendors two (2) hours prior to the first scheduled nuptial and one (1) hour following the last nuptial. Day of, Venue to provide staff for setup/breakdown, provide COVID markers, sanitize venue items (door handles, bathrooms, etc.) in between nuptials, man the door for guest arrival, serve alcohol (as required by venue), and be available for any client issues pertaining to or relating to the venue.
Video: Client to contract with NN directly. Clients expect to receive video coverage of event details (venue shots, personal items), couple portraits, family/group photos, ceremony details, and any other events (cake cutting, toasts, dances, etc.) within the nuptial hour unless client has also booked additional time with videographer. Videographer should establish expected arrival for deliverables ahead of event with NN and ideally should have completed deliverables 4-6 weeks following the event.
